Job Description
The Staffing & Workforce Specialist is a dynamic role designed to ensure Mary Ann’s Baking Company is consistently powered by a high-performing, reliable workforce. This role manages the full lifecycle of recruitment, from sourcing high-skill technical roles to coordinating with external agencies for temporary labor. Additionally, this position serves as the primary architect for the hourly workforce schedule, ensuring that all production shifts are fully staffed in compliance with California labor laws and production requirements. Beyond recruitment, this role is a champion of company culture, administering attendance programs to ensure operational continuity and facilitating events that drive employee engagement.
Role and Responsibilities
1. External & Skilled Talent Recruitment
•Lead the end-to-end recruitment process for "high-skill" technical roles, including Supervisors, Packaging Technicians, Team Leaders, Mechanics and Production Specialists ensuring candidates meet rigorous mechanical and food-safety standards.
•Develop a robust pipeline of local talent through community partnerships, trade schools, and digital sourcing platforms.
•Conduct initial screenings and coordinate technical interviews to ensure candidates possess the "mechanical aptitude" and "technical expertise" required for our high-speed manufacturing environment.
2. Internal Growth & Internal Recruitment
•Facilitate internal job postings and identify high-potential employees for growth opportunities, such as moving from an Operator, Technician, or Specialist to a Team Leader role.
•Partner with the Training team to ensure that internal candidates meet the required "Technical Skills" and "Leadership" qualifications before promotion.
•Manage the internal transfer process, ensuring a seamless transition and continuous production coverage.
3. Agency & Temporary Labor Management
•Serve as the primary point of contact for external staffing agencies, managing vendor relationships to ensure a reliable pool of temporary staff for both skilled and unskilled positions.
•Monitor agency performance metrics, including "fill rate," "time-to-fill," and "worker reliability," to ensure the facility meets daily output goals.
•Conduct weekly "Agency Reviews" to address any issues with temporary staff performance, attendance, or adherence to Good Manufacturing Practices (GMPs).
4. Multi-Shift Workforce Scheduling
•Develop and maintain the master schedule for the hourly workforce, supporting a multi-shift operation with shifts typically ranging from 8 to 10 hours.
•Coordinate with Department Managers, Supervisors and Team Leaders to adjust staffing levels based on production volume, absences, or leaves of absence.
•Ensure all schedules are in strict compliance with California labor laws regarding meal and rest break timing.
5. Attendance Administration & Employee Engagement
•Administer the hourly attendance program, tracking points/occurrences, and issuing required documentation or warnings in accordance with company policy.
•Assist in the development, planning, and facilitation of employee-focused events (e.g., appreciation lunches, holiday events, and milestone celebrations).
•Support the facilitation of daily huddles or "tailgate" meetings to ensure organizational initiatives and event details reach every shift.
Qualifications and Education Requirements
•Education: High school diploma required; Bachelor’s degree in Human Resources or Business Administration preferred.
•Experience: 3–5 years of recruitment, staffing or workforce coordination experience, specifically in a Manufacturing or CPG environment.
oProven experience managing high-volume temporary staffing through external vendors.
oDemonstrated experience in workforce scheduling for 24/7 or multi-shift operations.
•Technical Skills: Proficiency with Applicant Tracking Systems (ATS) and workforce management software.
oAdvanced Microsoft Excel skills for schedule modeling and reporting.
•Scheduling Expertise: Proven experience managing complex, multi-shift schedules for a large hourly workforce.
•Knowledge: Deep understanding of California labor laws (Wage & Hour, Break Compliance).
• Communication: Ability to communicate effectively with a diverse workforce
Physical Requirements
•Ability to stand and walk the production floor to engage with the workforce.
•Comfortable working in varying plant conditions (noisy production floors, varying temperatures) to engage with teams across all shifts.
•Ability to work flexible hours occasionally to meet with teams across all shifts.
•Ability to lift/carry up to 25 lbs (e.g., event supplies, training materials).
Performance Success Metrics (KPIs)
•Fill Rate: Percentage of open shifts filled by a combination of internal and agency staff.
•Retention: Turnover rate for new hires within their first 90 days.
•Scheduling Accuracy: Reduction in "Short-Staffed" incidents or overtime expenses due to scheduling errors.
•Compliance: 100% adherence to California meal and rest break scheduling requirements.
•Engagement Score: Successful execution and positive feedback on scheduled employee-focused events.
