Personal Assistant to the CEO

Hybrid | Full-Time | Long-Term Growth Role (4 Years)

This Is Not “Just an Assistant Role”

This role is designed for someone early in their career who wants to understand how real businesses are built and operated, from the inside.

You will work directly with the CEO of a growing international company. You’ll see how decisions are made, how priorities are set, and how execution actually happens. Over time, you’ll take on more responsibility as your judgment, confidence, and skills grow.

VamosWatu is a Talent Partner for Seed and Series A startups. We help founders build lean, reliable in-house tech teams by managing talent acquisition, payroll, labor compliance, and office operations across multiple countries.

The Role: Personal Assistant to the CEO

We’re hiring a Personal Assistant to the CEO, someone who will grow into a trusted right hand over time.

This role combines:

  • Personal assistance
  • Business support
  • Light operations and coordination

You’ll start with clear structure and defined responsibilities. As trust is built, you’ll gain more autonomy, ownership, and exposure to high-level work.

This is a long-term role for someone who is committed to growth, and developing professionally over several years.

What You’ll Do

Personal Support

  • Manage the CEO’s calendar across multiple time zones
  • Schedule, reschedule, and organize meetings
  • Research and book travel (flights, accommodation, transportation)
  • Track important dates (birthdays, events, reminders)
  • Coordinate gifts for partners, customers, and personal contacts
  • Act as a point of contact for personal matters when needed

Business Support

  • Communicate with customers, candidates, and partners on behalf of the CEO
  • Coordinate with contractors and subcontractors
  • Schedule interviews and meetings across time zones
  • Prepare simple meeting briefs and follow-up notes
  • Triage inbox messages and draft professional correspondence
  • Track expenses, invoices, and receipts using spreadsheets
  • Maintain organized records and documentation

Operations & Growth Exposure

  • Learn how payroll, bonuses, and basic HR processes work
  • Support recruiting coordination and onboarding
  • Assist with internal coordination and light project tracking
  • Gain hands-on exposure to how an international services business operates

What You’ll Need

Core Professional Skills

  • Strong written and spoken English
  • Clear, confident, and professional communication (written & verbal)
  • Excellent time management and prioritization
  • High attention to detail without losing sight of the bigger picture
  • Strong organizational and documentation skills

Technical & Tools

  • Confident use of Google Workspace (Docs, Sheets, Calendar, Gmail)
  • Comfortable with spreadsheets (basic formulas, tracking, organization)
  • Familiarity with collaboration tools (Slack, Coda, Notion, or similar)
  • Tech-savvy and quick to learn new internal tools

Execution & Judgment

  • Ability to follow instructions precisely
  • Ability to anticipate needs and flag issues early
  • Discretion when handling confidential or sensitive information
  • Comfort working independently once context is provided

Logistics & Availability

  • Based in Kenya or Argentina (other locations considered case-by-case)
  • Valid passport and willingness to travel internationally when required
  • Flexibility to work across time zones
  • Availability during core working hours (09:00–18:00 relative to the CEO’s location)
  • Willingness to commit to a long-term role (4 years)
