Job Summary
We are seeking highly skilled Executive Secretaries and Executive Administrative Assistants to join our customer’s team. In this dynamic role, you will provide critical administrative and executive support, ensuring seamless daily operations and high-level organisational effectiveness. If you bring at least 4 years of relevant experience and a proven track record of achievement, we want to hear from you.
Key Responsibilities
- Manage complex calendars, schedule meetings, and coordinate travel logistics for senior executives.
- Draft, review, and proofread professional correspondence and documents with exceptional attention to detail.
- Serve as a key liaison for internal and external stakeholders, maintaining the highest level of professionalism in all communications.
- Handle confidential information with absolute discretion and integrity.
- Prepare comprehensive reports, presentations, and briefing materials tailored to executive needs.
- Anticipate executive requirements and proactively resolve scheduling or resource conflicts.
- Contribute to process improvements and operational efficiencies within the administrative function.
Required Skills and Qualifications
- Minimum 4 years of experience as an Executive Secretary or Executive Administrative Assistant (this is our #1 criterion).
- Outstanding written and verbal communication skills; able to synthesize and communicate information clearly and professionally.
- Exceptional organizational and time-management abilities, adept at managing multiple priorities in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and remote collaboration tools.
- Demonstrated ability to work autonomously and proactively under minimal supervision.
- Experience handling sensitive and confidential matters with discretion.
- Strong problem-solving skills and attention to detail.
Preferred Qualifications
- Evidence of professional achievement—awards, recognition, or significant contributions in prior roles.
- Experience supporting executive leadership in remote or distributed teams.
- Relevant certifications in administrative or executive assistance.
