Job Summary:

Kitay Law Offices, “The Law Firm with a Heart,” is seeking a proactive, organized, and compassionate Legal Assistant & Front Desk professional to join our team. In this client-facing position, you will provide vital administrative and client support to attorneys and paralegals, ensuring the smooth operation of our law office and contributing to a 5-Star Client Experience in every interaction. Become an integral part of a supportive environment where collaboration, excellence, and client care are paramount.


Key Responsibilities:

  1. Warmly greet and assist clients in person and on the phone, managing all communications with professionalism, empathy, and confidentiality.
  2. Coordinate and route inbound calls, gather client information, schedule appointments, and maintain detailed call records in the case management system.
  3. Prepare, scan, and organize case documentation, legal correspondence, and maintain comprehensive filing systems.
  4. Draft routine correspondence, legal documents, and provide clear explanations of basic legal paperwork to clients as needed.
  5. Facilitate communication by translating and interpreting for Spanish/English-speaking clients during calls and meetings.
  6. Support attorneys and paralegals with scheduling, calendar management, and office organization.
  7. Proactively identify and resolve client issues, ensuring a welcoming and solution-oriented experience for every visitor and caller.


Required Skills and Qualifications:

  1. High proficiency in English and Spanish (verbal and written) is required.
  2. Demonstrated excellence in customer service, written and verbal communication, and client interaction.
  3. Strong organizational skills, meticulous attention to detail, and ability to prioritize tasks in a fast-paced legal environment.
  4. Proficiency with Microsoft Office Suite (Word, Outlook) and willingness to learn legal case management software.

Preferred Qualifications:

  1. Associate’s degree, higher education, or coursework in criminal justice or related field.
  2. Previous experience in a legal office setting or similar administrative role.
  3. Familiarity with legal documents, filing procedures, or legal terminology.
